Poland National E-Invoicing (KSeF) Compliance and Archiving Requirements

Poland’s National e-Invoicing System (KSeF) has been mandatory for public procurement (B2G) since 2019 and will be rolled out for all business-to-business (B2B) transactions in phases from February 2026. Every Polish taxpayer must issue, submit and retrieve legally valid e-invoices via KSeF, following specific formats, deadlines and archiving rules.

E-Invoicing Mandate

E-invoicing via the KSeF platform is compulsory for all Polish taxpayers. B2G invoices have been mandatory since 2019. From 1 February 2026, businesses with annual turnover above PLN 200 million must use KSeF for B2B invoices; on 1 April 2026 this extends to all other businesses; and from 1 January 2027 the smallest, low-volume taxpayers (invoices up to PLN 450, monthly sales ≤ PLN 10 000) must comply.

Standards & Platform

KSeF (Krajowy System e-Faktur) is Poland’s single clearance platform. All domestic invoices must be submitted in the national FA_VAT format (based on EN 16931) for clearance. Once approved, the invoice may be delivered to recipients outside KSeF, provided the clearance confirmation remains attached.

Archiving Requirements

Legal invoices—those submitted to and cleared by KSeF—must be retained for at least five years after the end of the fiscal year. While KSeF maintains a basic ten-year archive, businesses are strongly advised to implement their own secure archiving solution to ensure data integrity and accessibility.
